How do you master Honeybook Tasks? A few at a time.
Based on questions I’ve either been asked by my own clients, or answered online.

I want to use the tasks feature in Honeybook so my assistant can check off all the things we do for each client during their project. I made a list, and it’s a lot. Is there a way to make it less overwhelming for my VA, and what’s the best way to schedule the tasks?

Yeah, that’s the funny part of delegating - we never realize how much we do in our business until we hand it over to someone else!
Honeybook Task Blocking
Instead of handing your assistant a slew of individual tasks, which will block up your Honeybook home page and each of your projects, do what I call “Task blocking”. For example, whenever I book a wedding planning client, I do four behind-the-scenes tasks manually: 1. Co-sign their contract 2. Create a Google folder for them. 3. Add their wedding to that year’s spreadsheet. 4. Confirm an assistant coordinator. Instead of making each its task, I can create one task labeled “Onboarding” that lists these tasks. I do five separate tasks before I create a preliminary wedding timeline a couple of months before, and I put those under one task block called “Prelim timeline”. Any tasks you do more or less simultaneously can be grouped under one task. It also makes it easier for your assistant to see what needs to be done and what they need to ask questions about.
Timing your Honeybook tasks
Tasks are just another automation to set up, based on what’s happened before or what needs to happen before something else. Time the Onboarding task to pop up once the invoice is paid or the contract is signed. Time your prelim timeline six weeks before the wedding, whatever your workflow is. Be realistic about when you can finish it. The task will stay there, in your home page list, in their project, until you check it off. You can also add new tasks to individual projects.
Remember This About Honeybook Tasks
Like any other workflow automation, if you want to change it permanently with future new projects, change it in the workflow, not the project. But, BUT, if you want to make that change in your current projects, you have to do that manually.
