Ask Liz: Multi-date projects
The gig is great, and Honeybook will make it easy, too.
Note: All the questions are real, but have been edited for clarity and anonymity.
Dear Liz,
I’ve been hired to shoot headshots for a local company in one week. There will be ten separate photo sessions. How do I add all the different dates and times into their Honeybook project and have them show up in their invoice and contract?
Signed,
Ten for the show
Dear Ten,
This is easier than you think, especially if it’s all happening in one week. Go into Details in their project and add the start and end dates for the week you’re working for them. There’s a spot for availability where you choose either “Busy” or “Free.” If you want to schedule other things during that week, like other photo shoots or consultations, set your availability as “Free,” and that will leave your calendar open for other stuff.
Next, go into your invoice, and in the services’ description, add what they’ve hired you for, including the date range and how many separate sessions are covered.
Last, go into their contract. On the right side, you’ll see a selection to insert the service recap. Click that, and the service will be automatically added to their contract. Check out the video I made below.
This also works if it’s one project with dates that are spread out longer than a few days or a week. You can still put in the day you start and the day the shoots are done, and DEFINITELY set your availability as “Free”!
